How we use AI

We use AI to help our consultants do better work, faster. The people you work with remain accountable for that work. This page explains what that means for you and your information.

Where AI helps us

Our consultants use approved AI tools to support tasks such as drafting reports and status updates, summarising workshops, organising requirements, and supporting research into regulation and good practice. We also use AI to help match the right consultant to your project, based on their experience and the needs you describe. This gives our consultants more time for the work that matters most to you: understanding your organisation, working with your people, and making change stick.

What we won’t do

We won’t let AI make final decisions that affect you, your staff or our consultants. A named person remains responsible for every decision and can explain it.

 We won’t send you work produced with AI that a consultant hasn’t reviewed and taken responsibility for.

We won’t put your confidential information into an AI tool unless its use has been agreed for your engagement.

 We won’t use free or personal AI accounts for client work.

 We won’t record meetings for AI transcription without telling everyone first.

Looking after your information

The AI tools we use are business-grade and approved by us before they are used for client work.

We select tools whose providers do not use the information we submit to train their models, and we check where information is stored and how long it is retained.

We’ll tell you which tools we use on your engagement and where your information is stored. Passwords, access credentials and security keys are never entered into AI tools.

Special category personal data, your customers data and legally privileged material are only used with your written approval.

Where information needs anonymising, we remove identifying details using our approved tools within our own Microsoft environment, and a consultant checks the result.

If your organisation has its own AI requirements or policies, we follow them when working with you. Agreeing the approach with you

At the start of each engagement, we’ll explain how we propose to use AI and agree the approach with you in writing.

If you have particular requirements or restrictions around AI use, tell us and we will work within the approach we agree together.

If you ever want to know whether AI helped produce something we’ve given you, ask us and we’ll tell you plainly. If something goes wrong, we’ll tell you promptly and put it right.

Keeping this current

AI is moving quickly, and so are the rules around it. We review our approach every six months and update this page when our approach changes.
